How to reduce no-shows: 8 tactics for salons, barbers and clinics

Every no-show is an hour you can't sell again. For a small salon, barbershop or clinic, a few missed appointments a week can wipe out a day's income over a month. The good news is that most no-shows aren't malicious: people forget, plans change, or cancelling feels like more hassle than just not turning up.

These eight tactics tackle each of those causes. You don't need all of them. Start with the first three, measure what happens for a month, and add the rest if no-shows are still hurting.

Before you start, work out your baseline. Count how many appointments were missed without notice over the last four to eight weeks, and roughly what they were worth. That number tells you how much effort is justified, and it lets you see whether each change is actually working rather than guessing.

1. Make booking (and rebooking) effortless

Appointments booked in a rush over the phone are easier to forget than ones a customer chose themselves. Online booking lets customers pick a time that genuinely suits them, and they get the details in writing straight away. It also makes rebooking easy, so a customer who can't make it is more likely to move the appointment than skip it.

If you still take a lot of bookings by phone or in person, add them to the same diary straight away so the customer gets the same confirmation and reminders as everyone else.

2. Send a confirmation the moment they book

A clear confirmation email with the date, time, service, address and your cancellation policy sets expectations from the start. It also gives the customer something to add to their calendar and find again later. Keep it short and practical: the details they need, and how to change the booking if their plans change.

If the appointment needs any preparation, such as arriving with clean, dry hair, wearing loose clothing for a sports massage or allowing time to park, say so in the confirmation. Customers who know what to expect are less likely to feel unsure and quietly skip the appointment.

3. Send reminders before the appointment

Reminders are one of the most effective ways to cut no-shows, because forgetting is a common cause. A reminder 24 hours before works for most businesses; for early morning slots or long appointments, a reminder 48 hours before or on the morning itself can work better. Include a way to cancel or rearrange, so people who can't come tell you rather than just not showing.

Email reminders cost nothing to send. Text message reminders are read faster and suit customers who rarely check email, so many businesses use SMS for their busiest days or most valuable appointments and email for everything else.

4. Take deposits for high-value or high-risk slots

A deposit changes behaviour: people who've paid something turn up, or they give notice. You don't need deposits on everything. Use them where a no-show hurts most: long colour appointments, initial assessments, busy Saturday slots or new customers. Keep the amount proportionate, and make it clear when it's refundable.

Taking deposits by card when the customer books is the simplest approach. It also gives you a record of who has paid, so there's no awkward conversation at the end of the appointment.

Explain deposits positively: they hold the slot for the customer, and they come off the final price. Most regular customers won't mind, and the few who object are often the ones most likely not to turn up.

5. Publish a clear, fair cancellation policy

Tell customers how much notice you need (24 or 48 hours is common), what happens to their deposit if they cancel late, and how to cancel. Show the policy when they book and in the confirmation. A policy that is clear and applied consistently feels fair, and most customers will respect it.

  • Full refund of any deposit if they cancel with enough notice.
  • Partial or no refund for late cancellations and no-shows.
  • Flexibility for genuine emergencies, at your discretion.

6. Make cancelling easier than not turning up

It sounds backwards, but if cancelling means an awkward phone call, some people will just stay away. Let customers cancel or ask to reschedule from their booking confirmation. A cancellation with notice is an opportunity to refill the slot; a no-show isn't.

When a slot does free up, post it on your Instagram story or WhatsApp status with your booking link. Regulars often snap up last-minute gaps.

7. Turn regulars into members

Regular customers on a monthly plan, such as a blow-dry club, a monthly cut or a course of treatment, tend to book further ahead and treat the visit as part of their routine, because it's already paid for. A membership with a set number of visits each month and automatic card payments gives you predictable income and gives customers a reason to keep their appointments.

Start small. Offer a plan to your most loyal customers first, with a simple price and a clear number of visits, and explain what happens if they can't use a visit in a given month. Once a handful of regulars are on it, you'll have a better idea of the right price and whether to offer it more widely.

8. Track no-shows and follow up

Keep a simple record of customers who miss appointments. A friendly follow-up message is often enough the first time. For repeat no-shows, ask for a deposit on their next booking. Over time, check which days, times and services have the most no-shows and adjust your reminders or deposit rules there.

Look at the numbers once a month. If no-shows are concentrated on Saturday mornings or first appointments of the day, that's where an extra reminder or a deposit will make the biggest difference.
